Bilingual HR Assistant

Our Northwest Houston-based client is seeking a Bilingual HR Assistant who will be responsible for providing crucial support across multiple HR functions. This role is integral in maintaining compliance with HR regulations, developing HR document templates, and managing the recruitment and onboarding processes for new employees. The position includes general office duties, file management, and handling phone inquiries.

Key Responsibilities

  • Support to HR Manager: Aid the HR Manager in delivering exceptional service aligned with the company’s vision.
  • Onboarding Coordination: Manage essential aspects of the onboarding process for high-volume hiring, ensuring a positive new hire experience. Responsibilities include recruitment, screening, interviewing, hiring, and coordinating with new employees on matters such as the Affirmative Action Plan.
  • Orientation Creation: Develop orientation sessions for new employees in collaboration with the EHS and HR Manager.
  • Record Maintenance: Assist in maintaining accurate physical and digital HR records, including personnel files, documents, and reports.
  • Document Creation: Collaborate with the HR Manager to create official internal documents like offer letters, disciplinary forms, and Personnel Action Forms.
  • Compliance Coordination: Work with the HR Manager to ensure HR policies, laws, rules, and regulations are followed. This includes anti-harassment training, certifications, EEO and AAP reports, and leadership training.
  • Inquiry Management: Handle employment-related inquiries from applicants, employees, and supervisors, escalating complex or sensitive issues to the HR Manager.
  • Knowledge Maintenance: Stay updated on trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Office Assistance: Assist the main office with answering phones and providing support to vendors, employees, and the public.
  • Documentation: Record all activities, situations, and issues that need to be documented promptly.
  • Disciplinary Participation: Attend and participate in employee disciplinary meetings, terminations, and investigations.
  • Additional Responsibilities: Perform other related tasks as required to support other branches.

Skills and Qualifications

  • Language Skills: Must be bilingual in Spanish.
  • Education: Bachelor’s degree in human resources or pursuing such a degree preferred; HR Certifications (PHR, SPHR, GPHR, etc.) also considered.
  • Experience: Minimum of 3 years of HR-related work experience or equivalent HR certifications/education required.
  • Administrative Knowledge: Familiarity with administrative tasks and responsibilities.
  • Leadership and Coaching: Demonstrated leadership and coaching skills.
  • Analytical Skills: Strong analytical and problem-solving skills with resourceful thinking.
  • Communication: Excellent verbal and written communication and negotiation skills.
  • Customer Service: Positive interpersonal and outstanding customer service skills.
  • Professionalism: Ability to act with integrity, professionalism, and confidentiality.
  • Organizational Skills: Detail-oriented with excellent organizational and time management skills.
  • Technical Proficiency: Advanced computer skills, including proficiency in Excel, Word, PowerPoint, and the capability to learn the company’s HRIS system.
  • Writing Skills: Ability to write memos, letters, and communications accurately and informatively.
  • Flexibility: Must be flexible, adaptable, and able to handle multiple tasks efficiently and effectively.
